Background

For our Swiss customer located in Basel we are currently looking for (m/f) a Professional Administrative Assistant.

•    Type of placement:  3 months, external contract with possible long term extension
•    Company:  major Pharma company in Basel area
•    Salary:  level 1, please ask us for the exact rate range 
(monthly gross salary levels in CHF,  level1= 5-10k , level2=10-15k,  level3= >15k) 
 

In this position you will provide administrative support to the PVSD Basel team 50-60%. The Pharmacovigilance & Scientific Development (PVSD) drives innovation and development of processes, technologies, people and partnerships that enable effective scientific safety and ensure sustained PV quality.

Your key responsibilities will be

  • Providing administrative support to the PVSD Team
  • Coordinating travel arrangements, scheduling meetings (including taking care of the logistical aspects) and producing all necessary related documents and materials
  • Managing, coordinating and maintaining electronic distribution lists coordinating with functional and/or site list owners for updates
  • Organizing offsite meetings, and all aspects involved
  • Organize purchase orders for Vendors / Coding of incoming invoices, processing via Ariba 
  • Tracking of purchase orders / completing Travel / Entertainment Expenses
  • Organize: / support/assist visitors
  • Complete various administrative tasks; new joiners, IT, printing requests, organize social events, etc
Requirements: 

You bring the following qualifications and skills

  • Secretarial/business/office management certification/qualification and several years’ work experience (preferably in a similar position)
  • Experienced at managing events and leading external contractors
  • Outstanding computer skills and specific proficiencies with gMail, gDrive, gCal, Word, Excel, PowerPoint and other applications (e.g. Roche-specific systems)
  • Excellent time management & organizational skills with proven abilities to work and problem solve with a proactive mindset and way of working to anticipate where possible issues and/or opportunities are
  • Strong customer orientation and team player attitude
  • A strong sense of confidentiality and the ability to work with stakeholders at all levels, including senior management
  • Strong communication and interpersonal skills, fluency in English, proficiency in German
  • Excellent attention to detail
