Tasks & Responsibilities
Job Purpose
Make sure that >150 contracted partners of NPhS and the related local organizations in 80+ Export countries receive the highest quality service to enable commercial operations and product supply.
Ensure all relevant documents to execute the Export business are prepared, reviewed, approved and archived according to country and company specific requirements on time, and in line with applicable internal and external compliance standards (i.e., NFCM / SOX).
- Compile and analyse all price and condition data to support commercial decisions related to Export business
- Implement, maintain, and monitor price and condition master data according to Clients Financial Controls Manual (NFCM) requirements
- Train NPhS employees on system (PricePro and TPES) to ensure proper use
- Assist in preparation and review of distribution agreements and any other legal document to be provided to the customer and/or the country
- Independent handling of all documents needed for Export business in close collaboration with various functions (Pricing & Market Access, Supply Chain, Logistics, QA, Trade Compliance, Regulatory, Funds Flow, Credit Management, Finance, Legal, Compliance, PricePro and TPES IT support teams)
- Ensure Commercial Offers, Tender Quotations, Pro-Forma Invoices, Undertaking Letters, or any other document requested by the customer and/or country are correct, complete, and compliant before their signature and communication to external customers
- Provide Pro-forma Invoices to assigned countries to enable commercial transactions & obtaining import licenses as per country specific requirements
- Provide Price Certificates to assigned countries in collaboration with Global Pricing & Market Access for product launches / re-registrations
- Identify, support, and implement process simplification opportunities across NPhS Export Operations
- Support implementation of process re-design initiatives (from kick-off to implementation and monitoring) to improve process compliance, quality, efficiency, productivity and customer satisfaction
Key Performance Indicators
- Customer satisfaction level of timely execution on Export business documentation
- Quality of customer, price and condition master data records
- Documents archived according to NFCM / SOX requirements (no audit critical findings)
Must Haves
- Relevant degree (Economics, Business Administration, Finance)
- Fluent in English (spoken and written)
- Knowledge of other languages (e.g., French) advantageous
- 5+ years of maturity in multi-national Commercial and/or Business Administration, Finance roles; in the pharmaceutical industry
- 3+ years profound experience in Export business in the pharmaceutical industry; specifically, detailed know-how of commercial business in small and mid-size emerging markets
- IT literacy on Price Pro, TPES, SAP (mainly SD, FI) and MS Office
- Experience in multi-national and matrix organization and cross-functional teams
- Ability to handle urgent and complex (multi-functional) assignments and manage conflict of priorities
- Interpersonal-, communication-, negotiation- and problem-solving skills
- Project management experience
- Advanced knowledge of relevant software (PricePro, TPES, SAP (SD, FI) and MS Office) and ability to quickly familiarize with new programs or systems (as needed)
- Clear understanding of implications of working in a multi-functional / matrix environment (e.g., Global Pricing & Market Access, Supply Chain, Finance, Legal, QA & Regulatory, Credit Management, Funds Flows, Compliance)
- Coordination and supervision of different tasks simultaneously and ability to set priorities in accordance with objectives and business requirements
- Independent and analytical thinking (one part of role is standardized: different tasks where procedures are known and clear; the other part of the role is tailored: issues need to be analyzed and interpreted and a high degree of associative thinking / cross-functional networking is necessary)
- Recognized for setting high standards on Ethics, Integrity, and Collaboration
- Communicate effectively and on time with different functions, and organizational levels
- Large degree of independence and decision-making authority in handling any country request
- Provides own and other departments with services and know-how at the right time and in an appropriate quality and manner
